Onboarding a New Artist to Your Roster
Add an artist to the workspace, invite them into the App, and set up their first project so they can start uploading on day one.
In short
- Invite first, create project second, roster profile third — in that order.
- QR-code invites land artists in the App in one tap; email invites get buried.
- Remind the artist to add their IPI before their first split sheet.
- 1
Invite the artist to the workspace
Go to Users, click "Invite User," and add the artist's email with the Member role. Members can collaborate on projects they're assigned to but don't see workspace settings. The artist gets an email and can accept from either the dashboard or the Vandall App.

Invite with the role that matches their scope. Members stay out of workspace settings. - 2
Create their first project
From Projects, click "New Project" and name it after the release or working title. Enter the artist name exactly as it should appear on streaming platforms — this populates credits and agreements downstream.

Spelling the artist name exactly right here saves rework on every split sheet later. - 3
Add them as a project member
Open the new project and click the member avatars in the header to open the Members dialog. Add the artist by email, or share the QR code — scanning from the Vandall App joins them in one tap. Project members can upload files, edit metadata, and create agreements.
- Workspace membership alone doesn't grant project access for Members — they must also be project members.
- QR-code invites are the fastest path for artists who live on mobile.
- 4
Point them at the App onboarding
Send the artist the Getting Started article for the App. The most important fields for them to complete on day one are legal name, IPI number, and country — these auto-fill into every split sheet they sign. They can upload reference mixes immediately; everything appears on your dashboard in real time.
- 5
Verify their profile populated the roster
Once they've signed in, their profile appears on the artist side of the roster. Store IPI, ISNI, and contact fields here so future projects and agreements pre-fill. If any field is missing, you can fill it from the dashboard without waiting on the artist.
Tips
- Invite the artist before creating the project — if they accept first, their name auto-suggests in the Members dialog.
- Use the App share link or QR code for artists who live on mobile. Email invites get buried.
